Data protection information on visitor management at Schülke & Mayr GmbH
If you visit us at our locations, e.g., as part of an event or a work meeting, registration is required to ensure a smooth visit; for this purpose, we need information from you. The information required may vary depending on the location, building area, or event and occasion.
Information marked with an “*” in the input mask is mandatory; the registration process cannot be completed without this information. All other information is voluntary; the designation ‘optional’ or “voluntary” is for clarification purposes only.
Below, we provide you with information in accordance with Art. 13 GDPR about the processing of personal data in the context of visitor management:

2. Purposes of data processing and legal basis
a) Registration information
We process the data you provide during the registration process in accordance with our legitimate interests pursuant to Art. 6 (1) (f) GDPR. Our legitimate interests in the context of visitor management are
Carrying out access controls as part of the technical and organizational measures for the protection of personal data in accordance with Art. 32 GDPR;
Carrying out access controls for the purpose of property and personal protection (including checking whether access authorization is available), as well as the protection of trade secrets and other confidential information;
The possibility of contact tracing if an incident occurs at the location (e.g., fire alarm) that requires verification of presence.
b) Storage for simplified registration for future visits
If you have given your consent to the storage of your data for the purpose of simplified registration for future visits, we will store your data for this purpose. In this case, the basis for storage is consent within the meaning of Art. 6 (1) (a) GDPR. Consent can be revoked at any time without affecting the lawfulness of the storage that took place on the basis of the consent until revocation. You can send your revocation to the contact options listed in section 1 a).
3. Categories of personal data
Within the scope of visitor management, we process the following categories of personal data:
Profile/passport photo (optional/voluntary, if applicable);
Last name, first name
Date of birth (optional/voluntary, if applicable);
Address (optional/voluntary, if applicable);
Mobile or landline number
Email address;
Information about your vehicle (if applicable and parking is offered/requested)
Reason for visit.
4. Recipients of personal data
For visitor management purposes, we use unival group GmbH, Am Hofgarten 4, DE-53113 Bonn, as a processor on the basis of a processing agreement within the meaning of Art. 28 GDPR. The data will not be passed on to other third parties. The data will not be transferred to a third country or to an international organization.
5. Storage and storage period
The information you provide is stored in accordance with Section 2 a) on the basis of a legitimate interest. Unless you have given your consent to longer storage, your data will be deleted no later than 4 weeks after your last visit, otherwise after expiry of the period specified in the respective consent.
If an event occurs that requires longer storage of the data for the purpose specified in section 2 a), such as a data protection incident, etc., your data will be stored for the period for which it is required and then deleted immediately after the purpose has ceased to apply.
6. Your rights as a visitor
As a visitor, you have the right to information (Art. 15 GDPR), correction or deletion (Art. 16 and 17 GDPR), restriction of processing (Art. 18 GDPR), to data portability (Art. 20 GDPR), and to object to processing (Art. 21 GDPR). In addition, you have the right to complain to a data protection supervisory authority about our data processing.
